Bookkeeper - One Year Contract/ 3 days per week

Miziwe Biik Aboriginal Employment and Training is a non-profit organization, established as G.T.A.M.B. in 1991, our main objective is to provide employment and training services to the Aboriginal community in the Greater Toronto area.

The Bookkeeper is responsible for maintaining all accounts using Sage 300 accounting software, data entry (project cheques, accounts payable, payroll) and issuing cheques for signatures of designated signatories. Reporting to the Executive Director, the candidate’s responsibilities will include the following:

  DUTIES AND RESPONSIBILITIES:

• Development of annual budgets

• Preparation of budget submissions

• Financial reports

• Posting bank statements

• Preparing monthly financial statements for presentation to the Board of Directors

• Preparation of annual audit and working with Auditor

• Filing the GST/HST rebate

• Assistance with preparation of financial reports needed by the different departments (ASETS, Employment Ontario)

• Other duties as required

QUALIFICATIONS:

• Post-secondary diploma or degree in accounting

• Five years' work experience in finance administration

• Previous experience in bookkeeping in the non-profit sector

• Experience using account software Sage 300 is an asset

• Excellent communication skills, written and verbal

• Demonstrate attention to detail and accuracy

• Proficient in Microsoft Office especially Excel

• Excellent presentation skills

• Ability to work within and contribute to a team environment

• Ability to develop work plans and prioritize work activities

• Trustworthy and ability to maintain confidentiality

YOUTH SKILLS ASSISTANT

Full-time/Contract Position to March 30, 2018

Miziwe Biik Aboriginal Employment and Training is a non-profit organization, established as G.T.A.M.B. in 1991, our main objective is to provide employment and training services to the Aboriginal community in the Greater Toronto area.

SUPERVISOR:

Daily assignments will be prepared by the Program Coordinator of the Ngindaasmin Program.

GENERAL FUNCTIONS:

Provide administrative support function for the Program Coordinator, Ngindaasmin

DUTIES AND RESPONSIBILITIES:

1. Prepare a variety of documents such as routine letters, briefing notes, reports, spreadsheets, general correspondence, proofreading to ensure accuracy of format, grammar, spelling, editing and formatting documents transferred from staff on disk or electronically.

2. Providing general/routine information to clients and the public while maintaining confidentiality of data/information and referring inquiries to appropriate staff.

3. Maintaining appointment schedules/calendars for staff, making arrangements for meetings, conferences, arranging staff travel schedules, hotel accommodations and booking meeting rooms.

4. Participate in training as required and as requested.

5. Finance Functions: Cheque Requisitions – acts as central point for cheque requisitions, checking to ensure that they are complete with supporting documentation attached.  Invoices – responsible for distributing all invoices and maintaining a record.

6. Filing – maintains a general filing system, manual and electronic; ensures that all cabinets containing confidential materials are kept locked.

7. Maintain confidentially of MBAET business and client information.

8. Other duties as may be assigned from time to time.

QUALIFICATIONS:

• Knowledge of administrative policies, procedures and guidelines gained through hands-on experience

• Ability to prioritize administrative responsibilities

• Computer literate (Microsoft Office, including Word, Excel, Internet)

• Good working knowledge of GTA Aboriginal community infrastructure

• Demonstrated understanding of Aboriginal culture, fluency in an Aboriginal language an asset

• Excellent oral and written communication skills

• Ability to work independently, take initiative and set priorities

• Punctual, reliable and dependable

Special Projects Manager

General Functions: To coordinate the operations under the direction of the Executive Director.

DUTIES AND RESPONSIBILITIES:

Executive Administration

• Oversee collection of the statistics and reports

• Prepare monthly statistical and activity reports for Executive Director to various funders as required

• Actively participate in grant-writing and fundraising as required

• Draft and revise communication, statements, reports, etc. for Executive Director

• Participate in the overall planning of Miziwe Biik as required/requested

• Attend staff training and staff meetings

• Other duties as may be assigned

Projects Management

• Project management of activities of various funding sources

• Ensure reporting forms and final reports are completed and sent to ALFDC; and other funders

• Assess, review and recommend projects as required

• Provide direction to project staff on behalf of Executive Director as required

• Monitor statistical info from various data bases

• Monitor budgets on an ongoing basis for all funding sources

Technical

• Ongoing review of organizations technical requirement

• Research and recommend new technologies in database design as required

• Liaise with outside service providers for purchase and service to office and telephone equipment as required

Finance

Coordinating with Bookkeeper:

• Other invoicing as needed

• Prepare, draft correspondence necessary to meet funders reporting requirements

QUALIFICATIONS:

• At least 4 years’ experience in Program Administration with at least 2 years service in senior level position, relevant post-secondary education, or equivalent

• Demonstrated leadership and commitment to objectives consistent with the organizations core values

• Excellent multi-tasking, project management, organizational and time management skills

• Working knowledge of employment and training programs and institutions in the GTA

Technical:

• Advanced software skills including word processing, spreadsheet, presentation, database, Sage 300

• Government of Canada, “Enhanced Reliability Security Clearance”

• Demonstrated computer and internet technologies, customer service, communication and problem-solving skills are essential, as is the ability to demonstrate a steady increase in targets for all stakeholder groups.

• Highly developed interpersonal and oral communication skills

• Well organized and attentive to details

• Ability to work within and contribute to a team environment

• Ability to exercise professional judgement in a highly confidential environment
